2026 Pricing

What business process
automation costs.

Automating a single process starts at PLN 3,600 with us and goes live after five working days. A system connecting several processes starts at PLN 16,000. Every quote is one fixed amount. Not “from”.

Below you will find the full price list, a payback calculator and an honest account of what the price does not include.

Packages

You start with one process.
We build a system when you decide you want one.

Prices are net of VAT. Timelines are in working days, counted from the moment we receive access to your tools.

One process step
PLN 3,600
5 working days

The fastest way to check whether automation makes sense for you. We take one step of a process and make it happen by itself.

  • one process step, 1 integration
  • testing on your real data
  • a short set of instructions for the team
  • 14 days of adjustments after launch
Who it suits: a company that wants to see a result before committing to anything larger.

A full process
PLN 6,900
10 working days

A whole process from start to finish. This is the package most clients choose, because it makes a real difference to daily work.

  • one process, up to 3 integrations
  • conditional logic and handling of common exceptions
  • testing on your real data
  • documentation and handover to the team
  • a process map with an estimate of the time being lost
  • 14 days of adjustments after launch
Who it suits: a company where one specific process takes the team several hours a week.
Automate the process
System
PLN 16,000 – 35,000
3–6 weeks

Several processes joined into a single flow that runs without anyone chasing it. Only here do we use the word “system”, because only here is it genuinely one.

  • 3–6 connected processes within one area
  • unlimited integrations
  • steps that require understanding content
  • handling of unusual cases and escalation paths
  • a report for the owner
  • documentation and team training
  • 30 days of adjustments and 30 days of support
What the range means — it describes scope, not room to haggle:PLN 16,000 — 3 processes, up to 5 integrations
PLN 35,000 — 6 processes, unlimited integrations, SLA
Who it suits: a company where an entire area — sales, service or operations — runs on manual handoffs.
Let’s talk about a system
Architecture
PLN 36,000 – 120,000
2–4 months

Multiple systems across multiple departments, joined into one whole. We start by mapping processes across the organisation and implement in stages with milestones.

  • mapping of cross-department processes
  • a data-flow design for the whole company
  • staged implementation, with each stage signed off separately
  • AI agents where there is a business case for them
  • SLA and maintenance
This package is not ordered off a price list. We agree the scope in conversation, and the quote follows the analysis.
Who it suits: a company of more than 50 people, or one where processes pass through three departments and nobody sees the whole picture.

Owner dashboard — PLN 4,000

A live view of the numbers from the process: how many enquiries, what the response time is, where the delays are. Every package includes an email report, which is perfectly sufficient for most companies.

Monthly care — PLN 600 – 1,500

Monitoring, small changes to the process, priority support. It starts once the adjustment period ends. Entirely optional — the automation works without it, only then nobody is watching over it.

Operational assistant — quoted once the scope is agreed

An agent that not only watches over the process but does work inside it: preparing content, analysing data, handling repetitive correspondence, running ongoing tasks. Billed monthly, because it is continuous work rather than an implementation with an end date. The price depends on how many tasks it takes over and how often it needs checking — we set it after a conversation about scope, just as with process architecture.

What exactly you are paying for

What is included in every price.

Understanding the process before we build

Before we build anything, we establish how the process actually runs — including the exceptions and shortcuts nobody ever wrote down. This is usually the most valuable part of the project.

Integrations with the tools you already use

We don’t ask you to replace or buy anything.

Testing on your real data

Not on samples. The implementation is only finished once you have seen it working on your enquiries and your clients.

Handover to the team

Documentation and a conversation, after which somebody on your side understands what happens and what to do when something goes differently.

The adjustment period

If anything works differently from the agreed scope, we fix it at no extra cost. This is not a favour — it is finishing the job.

Payback calculator

See how many months it takes for the implementation to pay back.

Move the sliders and see your own numbers. If the result is poor, we will tell you plainly — on the call as well.

Estimated payback
4.4 months
A very good result — this process is worth automating.
1,260 PLNsaved / month
15,120 PLNsaved / year

The calculation is an estimate and deliberately cautious — we subtract PLN 300 a month for tools and upkeep. If the payback comes out above twelve months, you are probably looking at the wrong process. In the consultation we will help you find a better one.

What it looks like in numbers

Sample implementations.

Three typical situations, so the figures on the price list have something concrete to refer to.

Marketing agency, 8 peoplePLN 3,600

The problem: enquiries from the form landed in a shared inbox that somebody checked once a day. Some went missing.

The scope: form → CRM with an owner assigned → Slack notification → automatic confirmation for the client. One integration, 5 working days.

Result: 12 hours a month recovered, payback in just under four months.
Training company, 15 peoplePLN 6,900

The problem: after a quote went out, nobody kept track of the follow-up. The sales team remembered about half of them.

The scope: a sequence of three reminders triggered once the quote is sent, stopped automatically when the client replies, logged in the CRM with a weekly report. Three integrations, 10 working days.

Result: no quote is left without a next step.
Service company, 30 peoplePLN 19,000

The problem: enquiries, quotes, onboarding and reporting all ran separately. Data was retyped by hand between four tools.

The scope: four connected processes, a shared data flow, handling of unusual cases, a report for the board, team training. Six integrations, 5 weeks.

Result: an end to retyping between systems.

The scopes above are examples, meant to show the scale. Yours is quoted after the analysis.

From the call to the quote

How the quote works.

No pitch, no slides and no commitment at the outset.

01

Free consultation — 30 minutes online

You describe how one process runs today. We ask questions. By the end of the call you know whether it is worth automating and what range it falls into. If it isn’t worth it, we say so straight away, before you get round to asking the price.

02

Analysis and quote — within 3 working days

You get a description of the scope, one fixed amount and a deadline. No “from”, no ranges, no extras along the way.

03

The decision — no rush

The quote is valid for 30 days. We don’t call to chase you and we don’t run email sequences.

One promise we take seriously: if during the implementation it turns out the scope has to be extended, we say so immediately and quote it as a separate job. The amount in the quote does not grow along the way. Ever.
Four factors

Why one project costs more than another.

You know them before the call, so you know what to expect.

The number of integrations

Every tool that has to be connected means separate work and separate testing. Two integrations cost noticeably less than six.

The complexity of the rules

A linear process — an enquiry arrives, it goes to a salesperson — is cheaper than one with conditions, exceptions and escalation paths.

The state of the data

A tidy contact database brings the cost down. Three spreadsheets, an inbox and notes on somebody’s phone mean it has to be sorted out first.

Personal-data protection

Sensitive data — medical, financial, legal — calls for a setup on your own infrastructure rather than an off-the-shelf cloud. That raises the cost, but your clients’ data never leaves the company.

We say this now, not on the invoice

What the price does not cover.

The cost of the tools

The automation platform, the language model, an SMS gateway — those stay on your side. In a small company usually PLN 0–500 a month. If the process uses a language model, add roughly PLN 50–300 a month depending on the number of requests — we will tell you exactly how much before the quote, depending on whether we go self-hosted or cloud.

Licences for software you don’t yet have

If the process needs a CRM and you don’t have one, we will advise on a choice that suits the size of your team — but the subscription is yours to pay.

Care after the adjustment period

That is a separate, optional service.

Changes beyond the agreed scope

We quote for them separately and always before starting work.

A question from most consultations

Automation or another hire?

An administrative employee
PLN 5,500 – 7,500 / month

Around PLN 80,000–110,000 a year including on-costs. Plus recruitment, onboarding, holidays, and the risk that after a year they leave taking all the knowledge of how things work with them.

A full process
PLN 6,900 one-off

It doesn’t fall ill, doesn’t resign, and works the same in August as in November.

But it does not replace a hire in every case — and we won’t pretend that it does. Automation takes over repetitive work with clear rules. It will not take over client conversations, negotiations or judgement about unusual situations. In small companies the real effect is usually hours recovered for the existing team, not a job removed.

The full calculation — with the real cost of an hour of work and the cases where hiring wins — is in our article Automation or another hire?

A point of reference

What this costs on the market.

We give these so you have a reference point outside our own offer.

ScopeMarket range
Process automation from a supplier, with documentation and supportPLN 3,000 – 8,000
A chatbot with the company knowledge basePLN 5,000 – 15,000
An AI agent integrated with the CRMPLN 15,000 – 45,000
A bespoke system with SLA and complianceabove PLN 50,000

Below PLN 3,000 you will usually find a freelancer or a single scenario with no documentation and no support. For a very simple task that can be a good choice — and we will say so in the consultation if that is what your case calls for.

FAQ

Frequently asked questions about price.

Yes, all amounts are net — 23% VAT should be added.

For implementations above PLN 16,000 we split payment into stages tied to milestones. For smaller ones — 50% at the start, 50% after launch and your sign-off.

The implementation ends with a test on your data and your sign-off — only then do we consider it closed. During the adjustment period we fix anything that works differently from the agreed scope, at no extra cost.

No. The amount in the quote is binding. If it turns out the scope has to be extended, we say so immediately and quote it as a separate job — the decision is yours.

The tools are usually PLN 0–500 a month. Technical care, if you choose it, is PLN 600–1,500. Without care you pay only for the tools.

No. We work with what you already use. If something is missing we will advise on a simple, proven option — we don’t force anyone to rebuild their whole stack.

Programmes supporting digitalisation in small and medium companies come round periodically and can cover a significant part of the implementation cost. The terms change with every round — in the consultation we will tell you whether anything is available at the time.

Because “from” means you find out the real price later. We would rather give a range tied to a specific scope, and one fixed amount in the quote.

Next step

Let’s work out together whether
your process will pay back.

30 minutes, an online call, no obligation and no sales deck. We will go through one process in your company and tell you what implementing it would actually cost — or why at this scale it is not worth it yet.
