Automated reports — figures nobody has to chase
Somebody spends Friday afternoon pulling data from three tools into a spreadsheet and assembling a report. It takes half a day, and nobody is sure the figures are current. Reporting automation connects the data sources, produces the report at a set time and sends an alert when something is out of the ordinary — with nobody involved.
Implementation starts at PLN 6,900 and takes 10 working days from when we receive access.
- automatic data collection from all your tools
- one agreed definition for every metric
- reports in the format and at the time you choose
- separate versions for different audiences
How to tell reporting eats more than it gives
You make decisions on data that is two weeks old
Because that is how long it takes to gather and process the figures, and then they still have to be discussed.
Everyone has their own version of the numbers
Sales quotes a different figure from finance, because they count at a different moment and from a different source. The meeting is spent working out who is right.
The report gets produced, but nobody reads it
Because it arrives too late, contains twenty numbers, and none of them leads to a decision.
You learn about the problem when it is already too late
A drop in conversion at the start of the month shows up in the month-end summary — that is, once it has been going on for four weeks.
Step by step, concretely
- Data arrives automatically from every sourceCRM, sales system, accounting, advertising, the website, spreadsheets. No exports and no copying.
- The system organises it under one definitionWe agree once what “lead”, “opportunity” and “close” mean — and from then on everyone counts the same way. This is usually the most valuable part of the implementation.
- The report is produced at a set timeMonday morning, the first working day of the month — whenever you want.
- Each audience gets its own versionThe board gets three numbers and a trend. The sales manager gets a breakdown by salesperson. Marketing gets acquisition cost by channel. The same data, different slices.
- Anything out of the ordinary triggers an alertYou don’t wait for the report. A 30% drop in enquiries against the average raises a flag the same day.
- The history is keptYou can compare any period with any other, without hunting for old files. The report comes with a short summary: what changed against the previous period and what needs attention — three sentences instead of twenty numbers nobody would read anyway.

What is included in the implementation
Specific ranges for this process
| Scope | Price net of VAT | Timeline |
|---|---|---|
| One recurring report from 1–2 sources | PLN 3,600 | 5 working days |
| Reporting from multiple sources, audience versions, alerts | PLN 6,900 | 10 working days |
| A full reporting system for several departments | from PLN 16,000 | 3–6 weeks |
The price is driven by the number of sources, the state of the data and whether the metrics are already defined. If the company doesn’t agree on how to count basic things, reaching that agreement is part of the project.
If preparing reports takes 8 hours a month from somebody costing PLN 90 an hour, that is PLN 720 a month. On time alone the implementation pays back after ten months — right on the edge of being worthwhile.
The real value lies elsewhere. An alert about a drop sent the same day rather than a month later buys you four weeks to react. On one decision a year taken four weeks earlier the implementation pays back many times over — but that cannot be put in a table, so, honestly: count the time first and treat the rest as upside.
Honestly, so as not to waste your time
If your CRM has built-in reports and they are enough for you, automation adds nothing but cost.
That is an organisational problem, not a technical one. An automated report nobody opens is a more expensive version of the manual report nobody opened.
With a team of a few people the owner usually knows everything without a report. In that case alerts alone are the better option — and a cheaper scope.
If half the deals have no source recorded and nobody updates statuses in the CRM, the data has to be sorted out first. We will say so in the consultation, not partway through the implementation.
A short list, so the implementation starts without hold-ups
The second point is the hardest. Most companies want to measure everything and then read nothing. Five metrics that actually change decisions are worth more than thirty on a dashboard.
Frequently asked questions.
Directly from your tools, through API connections. You export nothing by hand and upload nothing.
That is the most common situation and the first stage of the implementation. We establish one source of truth and one definition for each metric. Discrepancies usually come from two systems counting at different moments.
Yes, and we recommend it. The board needs three numbers; the sales manager needs a breakdown by person. The same data, different slices.
Both. Reports arrive on a schedule; alerts arrive when something falls outside the agreed norm. Alerts are usually the more important of the two — a report summarises, an alert lets you react.
From daily to once a quarter. A weekly operational report and a monthly management one usually works best.
It depends on the option chosen. With sensitive data we build the reporting on your own infrastructure — then nothing leaves the company.
